A Cold Email List Checklist Before You Send

A cold email list is useful only if the audience matches the offer and the file can be reviewed. HEED at getheed.app researches B2B contacts to a specific brief, with validated work email, checked business phone, source URL, and checked date. Use this checklist before importing any purchased or researched file.

Pay once. Delivery within 48 hours of confirmed payment. The free B2B sample is a fictional format preview, not contact-quality evidence.

01 / DETAIL

1. Write the offer and buyer problem in one sentence

Before you choose a list, write the problem your offer solves and who can act on it. “Operations managers at regional fitness groups who manage scheduling” is more useful than “business owners.” Add the location, industry, company-size range, and decision-maker role. This gives a researcher a clear match test and gives your copywriter a reason to talk to the person.

Avoid stacking unrelated segments into one send. A restaurant owner and a software sales leader may both have work emails, but they have different priorities. Separate campaigns when the product use case, message, or proof changes. An audience can be narrow without being tiny if the market and package size fit.

2. Decide the required row fields

For a B2B email and phone campaign, ask for company, website, location, a named decision-maker and title, work email, business phone, source, and checked date. HEED’s accepted B2B row includes those fields. The business phone may be a direct or main company line, labeled when known. Do not plan a personal direct-dial campaign based on a generic “phone included” promise.

Source and date help a reviewer check whether the person still works at the company and whether the business fits the campaign. They are evidence of the research snapshot, not a guarantee that nothing has changed. If a dataset lacks provenance, plan extra review time before sending.

3. Test a small slice of the market

Start with enough rows to learn whether the targeting and message are relevant. HEED’s 25-contact B2B file costs $75 and is limited to one per organization. Larger packages exist when the target and process are established. Use an early batch to inspect field mapping and response quality; do not infer future results from the row count alone.

Check for duplicates, excluded accounts, mismatched roles, missing required fields, and inconsistent formatting. Compare the delivered fields to the order and keep the original file. If a HEED row appears defective, report the affected rows with your order reference within the 14-day review window.

4. Prepare the sender and import

Choose CSV, XLSX, JSON, or XML to fit the tool that will use the file. Map columns deliberately; a phone-type label should not disappear during import. Screen against your own suppression and customer lists so an existing customer or opt-out is not treated as a fresh prospect.

If using Instantly, Smartlead, or another sender, check its current import rules and sending configuration. HEED provides the research file; it does not configure domains, manage sequences, or send messages. A validated work email does not mean a specific mailbox will accept every future message.

05 / DETAIL

5. Keep outreach lawful and relevant

Commercial email rules can apply to B2B outreach. Identify the sender accurately, provide required notices and opt-out handling, honor corrections, and check the rules for each geography and channel. Calling and texting have separate restrictions. A business contact in a file is not a person who requested an email.

Write a short message tied to the role and business context. Measure delivery, replies, meetings, and sales separately. Those are campaign results, not properties of the list itself. Use the fictional HEED B2B sample only to see the field layout; it cannot test paid-file accuracy or email verification. Then use the order form for a brief that reflects your actual market.

QUESTIONS

Common questions

Does a validated email guarantee inbox delivery?

No. Validation is a check at the research time; mailbox state and sender setup can change.

Should I keep the source URL and checked date?

Yes. They help you review context and date-sensitive information before outreach.

Is a business phone always a direct dial?

No. It can be a direct or main company line, labeled when known.

Does HEED send cold emails for me?

No. HEED delivers the file; you configure and operate your own outreach.
